I personally like my folders to display contents the same across all folders on the PC. Windows Vista by default displays folder contents with large icons but to me it seems much easier to navigate if you use the folder view where it displays small icons with details about each item. Below are instructions on how to modify the folder view options and then apply that view to all the folders on your computer.

The default folder view will look something similar to the below.

In tune with consolidating all of my email accounts to Gmail I wanted to make sure that any email sent from my machine showed up in my Gmail “Sent Items” folder. I still have multiple POP accounts which can actually be configured on Gmail now however the messages show as “account@gmail.com sent on behalf of account@domain.com” in the FROM field on most email clients. To me this looks horrible and I don’t want other people seeing my personal Gmail account. So instead I still have multiple accounts configured locally in Outlook 2007 but I wanted to make sure that all sent mail was located in one place which would be the “Sent Items” folder of the primary Gmail account.

To accomplish the above was easier than I expected it was going to be by setting up a custom rule in Outlook 2007. All it does is check any email sent from the local machine and moves a copy into the gmail “Sent Items” folder. You can set up a similar rule by following the directions below.

Recently I have combined numerous email accounts into one Google Gmail account. To manage these messages on my local Windows XP machine I have chosen Outlook 2007 since I already have the MS Office 2007 suite installed. Below there are instructions for how to remove deleted messages from view after they are deleted in an Outlook IMAP folder. Make sure you also have Outlook configured to remove purged items when switching folders.

  1. Set Standard View: From Outlook’s top navigation menu select View, then from the drop down select “Current View”, and from the pop out side navigation select Messages.

Modifying folder options in Windows Vista is a bit different than Windows XP and may throw you off if you are not familiar with how to modify these options. Instead of modifying the options through the toolbar it is done through the control panel in Windows Vista. Follow the simple steps below to modify the same types of folder options as Windows XP.

  1. Open Control Panel: Click on the Windows icon in the bottom left of your start screen and click on Control Panel from the pop up menu.
  2. Open Appearance and Personalization: Double click on Appearance and Personalization.
  3. Open Folder Options: Double click on Folder Options. This will bring you to a screen similar to Windows XP folder options that used to be accessible from the menu bar.
